This is a quick start guide on how to get started learning the CCAA Univerus Sport portal.
1) How to Login
Login to the system by visiting: https://ccaa.athletesystems.ca
2) The CCAA Institution Portal
Once logged in you will be able to access the Institution Portal with the ability to view and complete several items.

Staff Directory
This is where you can update and publish your institution's key staff members and contact information. To do so select System -> Setup Staff Directory. From this page, you can select Create Staff and then fill out all necessary fields including the staff group/type. Once your Staff Directory is comlete you can export a copy to CSV by selecting Export CSV. -
Institutional Profile
In this area you will have the ability to view and edit your institutional profile as well as complete the compliance declaration on an annual basis. To view the institution dashboard, select "View Profile", to edit any of the information on the dashboard select "Edit Profile". - Compliance Declaration
In this area the CCAA staff will be asking you to digitally sign off on your institution's compliance declaration. The compliance declaration is a series of questions and information that will inform you on what requirements you must complete to meet CCAA compliance levels. This includes:
- Consent Forms
- CCES Anti-Doping Information
- Safe Sport Training
- Links & Files
This area is where CCAA staff will make specific links and files available to institutions as a file folder of key resources. These links and files can be accessed by clicking the hyperlink attached.
View Profile
On this page you will be able to access a non-editable version of your institution's information.
- At a quick glance you will be able to see your institution's profile, declared sports, as well as department staff and current rosters which will be uploaded by CCAA staff.
- This page is the most important page to keep current as the CCAA staff will use this information for creating reports and managing information between its institution and the CCAA
Edit Profile
In this area you will have the ability to edit your institution's profile including address, website, nickname...etc.
3) User Management
NEW to the CCAA portal in 2023 is an enhanced user management system. Administrators will now be able to add and manage staff to their institution portal.
Under the Tools tab, select Setup Users - Limited Access. This list will display all users in the system who are configured to be managed by your account.
To add a user enter the first and last name and email of the user and select whether the user should have access with or without the ability to complete your instructions compliance documents. Lastly, the initial school access drop-down with default to your school access. Once the user has been added they will receive an email with further instructions on how to log in and access the portal. Once a user is added you can always edit their information and or remove their access from the system by selecting the pencil icon next to their name.
4) Awards
Also NEW to 2023 is the ability to manage and monitor your individual athlete and institution awards history. On the main dashboard, select the "View Awards" tab to be able to view your institution's championship and hosting participation as well as individual athlete awards.
From the awards dashboard, you have the ability to search for awards based on any of the header columns (Example: "Female All-Canadian" to view all All-Canadian Female Athletes in school history). Y
